We are looking for an experienced Executive Assistant to support our CEO, COO, and SVP of Finance in a collaborative and respective environment and build an effective working relationship inside and outside of the company. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. You will bring strong communication skills, an exceptional attention to detail, and an ability to thrive in a fast-paced environment. This is an exciting role that will expose you to all aspects of a high-growth biotechnology company.

We are looking for an EA who has a natural passion for learning, enjoys taking on new tasks. Must possess a high degree of poise and professionalism.

Primary Responsibilities:

  • Efficiently manage calendars for Chief Executive Officer, and other executive leadership team members i.e COO, SVP of Finance as needed.

  • Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Support the executive team including CEO, COO, SVP of Finance to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate executive team needs in advance of meetings, conferences, etc.
  • Schedule meetings with Board Members, Audit Committee, Disclosure Committee, Compensation Committee, Investors, internal and external contacts and handle all event logistics including establishing agendas and collecting and providing presentation materials.
  • Work closely with and seek, where appropriate, guidance from COO and SVP Finance & Administration.
  • Manage travel coordination (international and domestic)
  • Drive key team activities (such as staff meeting agendas, all-hands meetings, supply ordering)
  • Compile, edit and format presentations ahead of distribution to the company’s Board of Directors.
  • Manage meetings and interactions with internal and external investors.
  • Liaison between executive management and bankers, investors, audit, legal and extended transaction team members
  • Maintain data room(s) as needed
  • Manage event planning
  • Support the CEO, COO, and SVP of Finance to ensure seamless execution of plans and avoid scheduling conflicts
  • Act as a gatekeeper for the CEO, COO, SVP of Finance’s time
  • Attend Executive meetings when needed to record minutes and identify action items and follow-ups
  • Provide strategic administrative and project management support
  • Build relationships with key stakeholders in the CEO/Executive team’s internal and external network; represent CEO/Executive team in a professional manner
  • Prioritize conflicting obligations and needs, independently and proactively carry out projects to completion on tight deadlines
  • Greet external guests for meetings with CEO/Executive team
  • Operate with a strict level of confidentiality & discretion
  • Ability to work autonomously to manage quickly changing priorities and keep everything running smoothly and effectively
  • Service oriented, self-starter, work independently with only general supervision, highly organized and able to prioritize.
  • Comfortable exercising judgment and discretion.
  • Absolute discretion and confidence in handling and not sharing CEO, COO, SVP of Finance's calendar and other sensitive information.
  • Work closely with internal PR/IR leader and external advisers to act on behalf of CEO, COO, & SVP of Finance for coordination, preparation, and execution of corporate and scientific communications activities.

Education / Experience:

  • At least 10+ years of experience in an administrative role
  • 6+ years supporting C-level executives, ideally the CEO
  • Strong understanding of Microsoft Suite, Zoom teleconferencing applications and travel management tools
  • Experience in a fast-paced startup environment preferred
  • Experience working for a public company preferred
  • Exceptional written and verbal communication skills
  • Exceptional interpersonal skills
  • Strong organizational, project management, and problem-solving skills with exemplary multi-tasking abilities
  • Flexible work schedule; responsiveness outside general business hours when necessary
  • Bachelor’s Degree or relevant experience
